Meeting Minutes - Draft

Approval of Past Minutes:

August 2008 Minutes were approved (Kenney, Beldi)

Old Business:

UW Dog Dash - Scheduled for 28 September 2008 @ BMP. Event plan was presented by Gilbert Gede. All Chief positions have been filled. Non-Stock groups run in the morning, Stock groups run in the afternoon. Lenient version of the passenger rules. BEAC Equipment, WWSCC timing to be used during the event.

Pacific Raceways

No new status.

WWSCC Laptop Upgrade

No new status.

AutoPilot Timing Equipment Fees:

Zane Kenney (BEAC) moves "To ban Daniel Morrison from WWSCC events until he pays $100 fine to BEAC for contact with timing equipment (cables) during the AutoPilot event, held at Cheney Stadium on 6 July 2008." (Kenney, McGeary)

Voting on this motion is tabled until the October 2008 meeting, to allow club reps to consult with their respective clubs on this issue.

President Old Business:

WWSCC President turned 40 on 24th August, making him old business. Amy (Mrs. President) turns 40 on Sept 24th

Out of Bounds DSQ clarification.

Dieter Beldi raised the question as to whether folks running dual entry in a PM session who run out-of-bounds during their PM runs will get their AM runs disqualified.

The rule was clarified to mean that the participant is disqualified only for the runs during the session in which the out-of-bound incident occurs, and is not be allowed to run any more runs for the duration of the event.

This implies that:

- out-of-bounds DSQs incurred in the afternoon session do not affect results from the morning session.

- participants will not be allowed to run from the moment the out-of-bound incident occurs through the conclusion of the event, whether this incident occurs in the morning or afternoon sessions.

WWSCC Equipment storage:

WWSCC asked BEAC if BEAC wouldbe willing to store WWSCC timing-related equipment in the BEAC container. BEAC agrees to store the following items:

- Generator (along with gasoline kept within the generator's fuel tank.)

- Timing head unit, cables, sensors

Under the following conditions:

- All WWSCC equipment must be stored in a self contained, labeled compartment (i.e. plastic trunk/box)

- WWSCC must agree and sign a hold-harmless agreement provided by BEAC.

- Advance notice must be given to BEAC when access to the WWSCC equipment is required. (Minimum notice: Friday before event takes place.)

- Bulk Gasoline storage is not allowed.

NEW BUSINESS:

Sports Car Spectacular 2008:

Date, location: 26 October 2008, at BMP

Event chair: Dieter Beldi (WWSCC VP), and T.J. McGeary.

Site (North End, BMP) is offered by TorqueSteerers for rent by the council for this event, under the following terms:

- if TS holds a simultaneous event on the south end of the site, then both clubs will pay $500 to BMP for rent of the site ($1000 total.)

- if TS does not hold a simultaneous event on the site, then WWSCC will be responsible for the rental of the full site, at a cost of $750 (payable to BMP.)

BEAC is not able to provide/donate site use in SCS this year.

UW FSAE will provide rent-a-student service ($20 per rental student.)

The following clubs offered to donate the use of the listed equipment during the event:

TorqueSteerers: PA, Generator

BEAC: Helmet, Radios

BSCC: Cones, timing shack

NWR-SCCA: Fire Bottles, Flags

UW FSAE: Drinking water bottles.

Coneheads Practice:

We have site issues for this year. Folks suggested use of the Shelton site. Final planning/resolution is still TBD.

Rules Meeting:

The 2009 Rules Update Meeting will take place prior to the November WWSCC general meeting, on 17 November 2008. It will start at 6:30pm, and will take place at Goldies Airport Way, in Seattle.

Club reps will vote on the rules at the December WWSCC general meeting, on 15 December.

Any revisions/alternate rules proposed by the WWSCC club reps after voting takes place during the December meeting will be revisited and voted on during the February 2009 WWSCC general meeting.
