Approval of April Minutes – Dieter moved to approve the April minutes. Keith seconded the motion. The minutes were approved as amended without opposition.
Treasurer’s Report – Kelley Picasso provided the Treasurer’s Report (attached). The account balance reflects the fact that we’ve recently paid for the rulebook printing, insurance for six events, and the RaceAmerica equipment. We’ll receive a full refund from JACircuits. Once clubs have paid their outstanding invoices, the WWSCC account will be back in shape. Jim’s Detail has an outstanding balance for the sponsorship fee. UWFSAE is ready to settle for its recent event. CSCC did a great job on the financials for its event – there are no outstanding CSCC invoices.
Old Business –
- JAC Timer – WWSCC will receive a full refund from JACircuits.
- Generator – BEAC will hopefully purchase a generator and new PA system within the next 60 days. In the mean time they will replace the cone in the old speaker.
- Race America Timer – The timing equipment arrived on Friday. It was shipped earlier in the same week.
- Jim’s Detail Series Sponsorship – Kelley hasn’t heard back yet from Kevin. We neeed to clarify that the annual sponsorship fee is $500.
- New Cone Purchase – The cone purchase has been approved and they can be delivered the day after they’re ordered, so we just need to schedule a time to receive the delivery.
- Dawg Dash Preliminary Review – There were 144 entries. Everyone got four runs. The event was finished by 3:45 p.m. There were no incidents with cars, but there was a question regarding passenger rules. Passengers were not allowed (default rule) as permission for passengers was not included in the event plan. Many thanks to Brett Wilson for his help with timing issues. Despite the fact the event was over quite early in the day, there was no opportunity for fun runs. Enrique gave notice that there had been an incident of inappropriate activity by a participant and that BEAC is considering taking action. More information will be provided at a later time.
- EVO School – All of the Phase 1 classes are full. The Wednesday Phase 2 is almost full. There is still some room in the Thursday Phase 2 but the Challenge is almost full. There are only 1 or 2 registered for the teen driving skills class, however.
New Business –
· Event Plan Template – It’s been suggested that the passenger rule be added to the event plan template. Karl will ask Alan to make that addition to the template on the website.
· Drivers’ Meeting Template – There is a drivers’ meeting template in the event chair checklist. The “out of bounds” rule and site rules should be added to the checklist.
· Autopilot Event Plan – The event plan was presented to the WWSCC reps. It was noted that “site rules and participation” will be required on future event plans.
· ACE Ladies’ Practice Event Plan – ACE presented the plan for the Ladies’ Practice. Worker volunteers should contact Brianne Green or Dieter Beldi.
· TS US/OS Event Plan – Kim Littke and Drew Hanft are the event co-chairs. There will be on-site registration for an additional $5. Ron and Dieter volunteered to be stewards for their worker assignments.
· Miatacross – PSMC needs help with Chief of Workers, Chief of Grid, and Chief of Timing. They will use the WWSCC timing equipment.
· Sports Car Spectacular and Coneheads Banquet – WWSCC member clubs volunteered to be responsible for the following chief assignments:

· Set-up and Tear-down – BEAC
· Tech – ACE
· Grid – SCCA
· Timing – TS
· Workers – PSMC
· Trophies - UWFSAE
We still need a course designer.
