February 21, 2005
Rogue Brewery, Issaquah, WA
Call to Order: 7:39 PM
Attendance
Karl Coleman, President; Ron Bauer, Vice President; Kelley Picasso, Treasurer; Denny Trimble, Meeting Minutes / UWFSAE; Enrique Garcia, Meeting Minutes / BEAC; Jerry Lamb, SCCA; Ed Dahl, CSCC; Dieter Beldi, PSMC / ACE; Keith Brown, TS; Kevin Dietz, BSCC; Noel Aquino, NWDE. Guests: Brianne Lachlann , CSCC; Hans Adomeit, TS; Karen Babb, BEAC.
Typo, PSMC not PSME in Attendance section
Jerry Lamb moved to approve, Ed Dahl seconded, none opposed.
Opening balance as of 1/1/2005 was $9812.18. Ending balance as of 2/22/05 was $4907.41. Received invoice for 2005 honeybuckets from Northwest Cascade, $1072.14 for the entire year including slush events. Side note: locker combination is 210 on the honeybuckets, think “cone, gate” penalties. Still need to invoice clubs for 2004 honeybucket fees. $1300 in outstanding accounts receivable.
Coneheads: We made $70.16 in total, after refunding one person. The council decided to give $70 of that to our championship series sponsor Kevin Dietz to cover his banquet fee, leaving a profit of $0.16 for the banquet.
Karen mentioned that K&K will probably invoice WW for $1500 in March.
Equipment:
The council would like to purchase an FM transmitter to allow entrants to hear the announcer over their car stereo. Enrique reports that BEAC is OK with storing this equipment in their van, pending any space issues. Also, BEAC will store a WWSCC PA system and generator in the van if needed. Any equipment stored in the BEAC van must have its own box, or have a cabinet made for it. BEAC will not store a timing display in the van due to the cost and delicate nature of these devices. Also, BEAC may consider purchasing a new PA system for their own use in the future.
Jerry Lamb moved that we authorize $600 or less to acquire an FM transmitter. Enrique seconded, none opposed. The FM transmitter comes as a kit that requires several hours of soldering, so the council will probably buy food for a volunteer who would like to assemble the kit.
Enrique noted that he will send the BEAC rental rates to the council email list.
It was noted that several of the WWSCC cones stored in the BEAC van are very old and should not be used any more. At teardown of the first championship event, we will try to sort out the old cones and determine how many new cones to purchase.
2005 Calendar Updates:
UWFSAE Slush 1 Review
Denny Trimble: It was a great event, thanks to all the people who helped us run the show:
· Enrique Garcia (BEAC focal and rules steward, on-site all weekend)
· Alan Dahl (rules steward)
· Brett Wilson (timing and database god)
· Dieter Beldi (co-chief of tech)
· Scott Brenaman (co-chief of grid)
· Jason & Brett Spore (co-chiefs of registration)
· Keith & Kristi Brown (co-chiefs of workers)
· Kevin Dietz & Drew Hanft (novice coursewalks)
We had 176 entrants, which is a lot for a January event. We gave 3 runs each, with top times of 47 seconds in the AM and 41 seconds in the PM. We started more or less on-time in the morning, but were about 30 minutes late starting the afternoon session. Trophies happened at 5:15, and we were off-site by 5:40. Some issues:
· The Mollekers managed to double-enter
· The hotline ad never went up, apparently it didn’t respond to multiple attempts by Bret and Brianne
· We sold all of the remaining 2004 rulebooks
· ST2 was a very large class, so we’ll rearrange run groups for it in the future
Everybody seemed to like the course, and BEAC will be marking it for future use with some modifications to allow running in both directions.
Enrique noted that BEAC provides less expensive equipment rental rates to “Championship Events” rather than practices. So, the clubs should vote on the championship status of Slush 1 and 2 at their next meetings.
Coneheads Banquet Review
General discussion included:
· The food was great
· There was an issue with the projection screens that should be figured out before next year’s banquet
· The location was great
· Attendance was down, maybe in fear of parking difficulties. However, parking was easier than ever, $5 in the Seahawk Stadium garage.
· The wait staff seemed to be confused
· The contract worked out well, we knew going in that we wouldn’t lose money, and there was no penalty for adding a few meals at the last minute
TS Slush 2 Review
Hans Adomeit: Not as many entrants as expected, perhaps weather played a role. There was some ice on the course in the morning, but sweeping removed it. There were 109 entrants, and double-entries were allowed. Everybody got 4 runs. There was an out-of-group run protest in Pro1, which was resolved by allowing the entrants to keep their first two runs which were in similar conditions to the regular run group. After much discussion, the council decided:
“As an agreed upon guideline, we will advise member clubs to call “all or nothing” on future protested out-of-group runs in championship events. If the protest is upheld, the protested entrant will receive a time of .001 seconds behind the slowest competitor in their class.”
This may be clarified in the rulebook next year.
ACE Slush 3 Upcoming Event Discussion
See event information on the website. Pre-registration closes Saturday (I didn’t catch the time – DT). Rules stewards will be Enrique Garcia in the AM and Denny Trimble in the PM. Since the hotline is not working, we should go ahead and register Val and Michelle for all events in the future. Pre-registered double entries will not be allowed.
CSCC Slush 4 Upcoming Event Discussion
Brianne Lachlann, Event Chair
Ed Dahl, Co-Chair
There will be no club membership requirement, and registration is pre-registration only, and on-site payment only. There is an entry limit of 150 (75AM, 75 PM), no pre-registered double entries. Non-stock classes in the morning, stock in the afternoon. The course will be the Mere Mortals course which Bill Banning designed for last year’s cancelled event. CSCC will use their own timing equipment, with an extra timing worker to enter data into Autocross Scorekeeper. The BEAC focal will be Enrique Garcia, the AM Rules Steward will be Keith Brown, and the PM Rules Steward will be Dieter Beldi.
Other CSCC issues: K&K and WWSCC both sent insurance refund checks for the cancelled Mere Mortals event in 2004. K&K won’t accept return of their check, so CSCC would like to cash the check and pay WWSCC. Kelley agreed this was OK.
Event Checklists
Hans Adomeit will pursue an update of the format and content of the event checklists, in the hope that better information that is more easily read will encourage more people to help run events.
What’s Appropriate for the WWSCC Calendar?
No official decisions made, but the discussion went in the general direction of “any events in this corner of the country that might be of interest to WWSCC members.” This includes WWSCC events (including SCCA events, SCCA is a member club of WWSCC), and club meetings at the request of each club.
Last Minute Car Classing
Mike Leuty would like the Ford Focus to have a class in WWSCC. After discussion, the council agreed that all Foci (including SVT) will be classed in Stock E. This will be updated in the 2005 WWSCC Rulebook.
Slush Banquet
This banquet will be funded by the $1 per entrant sanctioning fees at 2005 slush events. The date will be April 2nd, Saturday night. The location will be Bison Creek Pizza in Burient, and Kelley Picasso will organize the event.
Hotline
The hotline currently plays back event information from late last year, and apparently can’t be updated. The council discussed the current problem in addition to whether or not WWSCC needs a hotline. Some discussion points:
· The hotline is still used by some people as their only source of event information, other than word-of-mouth
· It adds to the event chair workload to request an update of the hotline before an event
· We’re currently paying $30 per month for the phone line
· Past problems with hotline volunteers indicate that it may also be a problem in the future
· It was suggested that those people who rely on the hotline be responsible for updating it
· It was also suggested that a less expensive voicemail box is an option if fixing the current hotline is the issue
Ron Bauer presented a motion for member clubs to vote on discontinuing the WWSCC hotline. Kelley Picasso seconded it.
