WWSCC Meeting Minutes - July 19, 2004

Call to Order – 8:00 p.m.

Approval of Minutes – Enrique move to approve the June minutes, Kelley seconded the motion. It passed without objection.

Treasurer's Report – June was quiet – just one check was written for last meeting’s food. Insurance money was sent out this month. We received payment from NWDE. Outstanding accounts receivable are on the last page of the report. Kevin Dietz may need a letter certifying that he is a sponsor of this year’s championship.

Old Business

Tech Report – The Eskimo server crashed. They hadd not done a back-up in over a month. WWSCC may want to revisit having Eskimo as the server host. Big thanks to Brent for getting the system back up as quickly as he did. Brent is still talking to people about who wants to take over as webmaster.

 

Equipment – Enrique is looking for a case for the new printer.


SMEs – Glen has volunteered to be a SME for grid, Chris for tech, and Karen for course. Dick Willy may volunteer to be the worker SME.


New Business

Official Review and vote of NWDE, Autopilot – No objections for either one.


Miatacross – Dieter provided the event plan. The procedure for getting information on PayPal payments was reviewed. Denny volunteered to be p.m. rules steward. The course map was presented – it contains a big “M”. Keith questioned whether the big loop at the end be an overlap issue. The finish is one complete stall further than the location for understeer, so there should not be the kind of braking situation that we saw at that event. The event chair will insure that they man the crossover with extra people.

 

There is an issue with pets at the Everett site. Glen is working this. Boeing may have a policy prohibiting pets on the premises. So, there will be no pets on site for Miatacross. This will need to be on the event publicity



Sports Car Spectacular – NWDE will handle tech, PSMC will do timing, TS will handle workers, BEAC will be responsible for site and course, UWSAE will do tear-down, and Ace will do registration. Keith mentioned that Karl has the opportunity to get Packwood for the August 15 weekend. There are not a lot of other options until we get to October. If WWSCC is not willing to move Sports Car Spectacular, they will consider the day before Sports Car Spectacular or the day before the Enduro. Karen noted that if WWSCC scores the event, it can be a WW event. The decision was made to move Sports Car Spectacular to the Saturday before ACE, which is October 3. Then SCCA could run on the 25th and 26th of September. This opens doors for the site in Packwood and the opportunity to bring NT and ProSolo. We will need to talk to Glen to make sure we can get the site for Saturday.


Enduro – The plan will be presented next month. The chiefs are lined up. BEAC has Everett but is asking for Oxbow.


Mere Mortals – CSCC (sponsoring club) did not have a representative at the meeting.


Scorekeeper Training Sessions – Enrique said Brett would be willing to do the training, but still needs to find a site and arrange the logistics. It should be about a two-hour session. A weeknight with no scheduling conflicts would be best. Enrique will set it up.


Kumho 710 – SCCA has approved the 710s . Look for the word “POLYESTER” on the sidewalls of the new tires. Susan will post something on the list.


Noise – It was difficult to pinpoint the noise and get reliable readings. Craig Anderson’s car was 105 dB. Everybody else was down in the 90s. This was an interesting experiment. FastMike forwarded the stats to someone. No one measured the noise level of the speakers, but it would be worth doing as the PA tends to get more complaints.


Business cards – Dieter approached Glen about the cards. He will do a prototype card and then Dieter can set up printing. Dieter also approached Kevin about sharing the cost if Jim’s Detail was on the card. Dieter will bring a prototype to the meeting. Things to put on the card: the hotline number, the website, Jim’s Detail info. We could provide small discount to somebody that shows up to an event with a card. This way we might track the effectiveness and distribution of the cards.

 

Helmet stickers – No word from Kim Hiske. We will hopefully have them for 2005.


Passengers – The allowance for passengers by our insurance underwriters was discussed. Karen has drafted language to be included in our policy that should give WWSCC maximum flexibility in determining when and under what conditions passengers may be allowed while staying within the limits of our insurance.

 

BEAC Issues – Enrique asked on behalf of BEAC if it would be possible to create club officer e-mail accounts on the website that would serve as a contact e-mail address. It was suggested that they (BEAC) establish a Yahoo account for. A WWSCC e-mail account will not stop spam.

 

Honeybuckets – The locks may have been stolen. There is a suggestion to use combination locks rather than key locks. The keys are now hidden on top right-hand corner of roof of ADA unit. The location this year is more inviting to people walking out of the tunnel. Perhaps they should be moved closer to the race site. We should know the Thursday before Miatacross whether the honey buckets need to be serviced as a result of the locks being stolen and possible unauthorized use of the facilities.

 

Rick Smale will make a posting proposal for the fall.
