WWSCC Meeting Minutes 05/19/2003 Stella

Called to order: 8:04pm
Attendance: Denise PSMC, Glen BEAC, Keith TS, Jerry SCCA, Brian UWFSAE,
Chris NWDE, President Susan, Insurance Focal/Interim VP Karen, Secretary Kelley.
No reps from ACE, CSCC, or Tiger Club tonight.
Guests: Tom L., Dieter B., Enrique G.
Minutes from April Meeting: Need to check with Steve of CSCC regarding
exact wording of his Indexing Proposal. Proposal as reads in minutes is
somewhat vague still from what was passed at April meeting. Kelley will
check with him.
Treasurer’s Report - Kelley for Karina: Current balance is $7478.61. The
Slush party budget from sanction fees was $177. Expenses over cash collected
came to $231.66. In keeping with WWSCC tradition, Karina forgot to budget
for the tip J, so we were $51.66 over. Expenses in April and so far in
May: Slush Party, Rule book printing, WWSCC laptop, $25 to Glen for reimbursement
for event fees for winning the tagline competition, renewing the domain
name for 9 years, renewing the ISP for 3 months, insurance, and miscellaneous
supplies. Income in April was primarily from the SCCA portion for Coneheads
and UWFSAE Event #1. Accounts payable includes 2002 trophies, we’ve still
not been invoiced for them. Accounts receivable include per member insurance
dues from ACE, BEAC, CSCC, NWDE, and UWFSAE per report from last month, $260
from ACE for the Ladies Practice, and Karina will send the invoice for Autopilot
via email. NWDE paid Karina $61.00: $30.00 for dues and $26.00 owed from
last year, but she isn’t sure what the extra $5.00 was for. Chris said
he would let NWDE treasurer know.
OLD Business: Vice President Vacancy Susan: We still need a VP. Enrique
volunteers to run. Karen nominated, Denise seconded, accepted. Everyone
to go back to their clubs for election at the June meeting.
NWSCN Ad - Glen: No update at this time.
Technology Committee - Kelley: Purchased the Toshiba Satellite from Costco
that Glen had suggested. We used it at Autopilot with Autocross Scorekeeper.
AM went well, PM had some reporting issues and we ended up scoring for
trophies the old-fashioned way. Kelley working with Scott Chytil to get
things ironed out for Scorekeeper for hosting the database on the new WWSCC
laptop. Glen proposed we approve a $100 budget to purchase a new laptop
bag/tote that can also carry the portable printer, Enrique seconded, passed.
Per Karina to Kelley: No one has sent any updates regarding their specialty
checklists, so Karina is assuming everyone is happy with what she has posted.
Still need name and email for the specialty focal person for the clubs’
assigned checklists. If no one is going to do this, perhaps we should just
scrap the idea and leave the checklists posted as-is. Jordan, the new logo
designer, has not been in communication with Karina so she could get a usable
version of the new logo. WWSCC website redesign is on hold until we get
a working logo file. The website was down for a short time because our ISP
service expired. No one complained, so we’re hoping no one noticed. It’s
now taken care of and changed the contact info at Eskimo to Karina.
NEW Business: UWFSAE 2nd Annual Husky Motorsports Autox WWSCC Event #1 -
Brian: Vote to accept for Championship status: ACE (Dieter), BEAC, NWDE,
PSMC, SCCA, TS, UWFSAE, passed. Glen heard that there are still errors
in Street Tire. Brian said he went back & forth with Scott C. Scott
was supposed to have sent the corrected report back to Karina. Brian will
check with Karina that the Results that are up on the site are the corrected
ones.
BEAC Autopilot XXIX WWSCC Event #2 Review - Enrique: Approximately 150
competitors, maybe more. 9:15am first car out, 1:45pm first afternoon car
out. We had to do the afternoon audit by hand. We finished at about 6:00pm.
A car hit the reflector box in the PM but didn’t damage anything. Some
missing indexes on timing cards. Since the cards are the official record,
we need to make sure we have a spot for the indexes to be written in for
those people who register onsite. Competitors seem to have issues in determining
their indexes and registration doesn’t really have the info onsite for helping
them out with that. Kelley volunteers to print out the info for figuring
your SCCA index and putting them in plastic sheet protectors in a binder
titled: Dude, What Class Is My Car? J Enrique had some issues about a minor
who wanted to race but didn’t have parental permission. He wanted the minor
to take the waiver back to his parents, but the minor went home instead.
Kelley suggested that we maybe have something online that says, If you are
under 18 read this! for those who need to have minor waivers signed by parents
and notarized if signed offsite, or have a parent sign in front of one of
our registration personnel. We need to make sure we have trained registration
workers. The parents can write at the top All Events and we can keep
a copy in the Blue Box. Council members are encouraged to help think up
a possible answer to this issue.
NWDE Clothing Optional 2003 WWSCC Event #3 Event Plan - Chris: June 15th
at Everett West. AM stock/PM improved. Karen is the course designer, design
is presented tonight. Rules Stewards: Dieter AM, Glen PM. $20 pre-reg,
$25 register onsite. They think they might use WWSCC’s PayPal account with
Scorekeeper. They would like to limit novices, however were advised that
it seems to only encourage people to jump into Street Tire prematurely.
After-event social will be at Azteca on Evergreen Way. BEAC Focals: AM
Karen, PM Enrique.
PSMC Miatacross III WWSCC Event #4 Event Plan - Dieter: June 29th at
Everett West. AM improved/ PM stock. Tom LeCoque is the course designer,
design presented tonight, critiqued by Karen. Rules Steward: AM Susan,
PM Chris Schlosser. AM novice training walk _________________. Remaining
event plan presented tonight. $25 pre-reg, $30 register onsite. Going
to try for four runs. After Teardown social at McMennamins. BEAC focal
is Enrique. Dieter asked what people thought about having the Down and
Out rules on the course walk rather than at Driver’s Meeting. Keith thinks
giving at the DM is still needed since the Driver’s Meeting has mandatory
attendance.
Events for 2003 - Updates: BEAC has a selection of two dates for Enduro
but haven’t hammered them out yet. UWFSAE might host a practice on July 20th,
no other local events interfere, SCCA is at Wendover ProSolo. Tom: The Camaro
Club took over some other Chevy clubs who were booted out of Pacific Raceways
and he’s been contacted by them to host a novice school type of autocross.
Tom is in talks with ACE to help put it on Saturday, August 16th in the
morning so the Camaro club can go run a TSD rally after the school. People
who help put the event on would get the autocross course for the remainder
of the day after the Camaro folks leave. Need people to work registration,
timing, announcing, etc. as well as work the course and help instruct.
ACE will be insuring the event through WWSCC/K&K.
Autocross Scorekeeper Training - Kelley: Having worked ASK for both WWSCC
& SCCA, she has come to the conclusion that an in-service/training course
should be in order to get more people literate on the software so the same
four or five people aren’t always doing the Data Entry work assignment.
Generally everyone agreed this would be a good idea. Asked what people
thought of clubs giving financial incentive to people who have graduated
from the in-service to help ensure their assistance in data entry at events.
It was agreed to see how things progress after the class if there is more
help with DE, if not then we can revisit the financial incentive ideas.
Kelley will coordinate a training date/site etc. with Scott Chytil.
Next Meeting: If there isn’t a Mariners home game, then Stella’s on Monday
June 16th. If there is a home game, then Issaquah Rogue Brewery.
