Minutes from June: Accepted
Treasurer Report: Spent $2400 for insurance this month. Honeybucket invoice
is $1000.00; there are only two events in the period of time covered by that
invoice. $5370.27 is the WWSCC current balance. PayPal is working out well
for billing to the clubs for sanctions/rule books. Outstanding accounts receivable:
NWDE still has per member insurance fees and the Clothing Optional event
invoice unpaid. Hotline usage: a few events didn't get onto the Hotline,
so Karina didn't charge the clubs for the $10 hotline fee. We're paying about
$300 or so a year. If the clubs don't use it, we don't charge them. Honeybuckets:
Kelley will check into with the contact at NW Cascade.
Technology Update/ Webpage - Karina: Jordan was in a car accident, Mitch
created preliminary graphics for the home page. Tim Kuhn has also offered
his assistance with graphic design for the new webpage. Kellley printed a
copy of Mitch's design, Karina will forward the link to the Council list for
everyone to see it.
Generator - Karen: No update yet, left message to find out how the work
is going.
OLD Business: Hotline Options - Susan: She's been checking with Qwest
to see if there are other hotline options available, something that could
be updated on a case-by-case basis rather than only one event at a time or
having to re-record the information over the top of an old event.
WWSCC Event #3 NWDE - Clothing Optional: Accepted for a vote: passed, none
opposed.
WWSCC Event #4 PSMC - Miatacross - Unofficial discussion - Dieter (Event
CoChair): There were a lot of challenges, went a little long, three runs
for everyone, everyone in a class all ran the same course with the exception
of the Novice PM group. Thank you to everyone who pitched in to help. At
BEAC meeting there was a proposal for dealing with really really inclement
weather. When is a rain delay appropriate? Enrique is working on a proposal
for such issues. Keith - What happened with the second heat workers who
left after they ran but before they worked? Because the Event Chairs said
that people could leave if they needed to, the club isn't going to hold them
accountable for their leaving early. And the club chose to exercise their
right to *maybe* require a work assignment. Concern is that we remain consistent
with how we apply the rules to entrants so that the next time a similar situation
occurs we don't say yes to one person, but no to another. Karen! suggested
that we have an article posted to the website about what happened and thank
the people who stayed and worked and also communicate to the people who left
that this was a one-time super special occurrence. Dieter said they had 5
emails that they made great decisions and pulled off a good event. They had
no emails from people who complained, but then heard this undercurrent of
dissent from other people. Unfortunately we keep having these issues with
course design and with some of our faster & experienced people these issues,
if recognized, should be brought up in advance if possible. When the weather
changes, reminders on the PA might help too. Remind people that when they've
agreed to run that half of the day, they have obligated themselves to participate
for however long it takes. There was a guy at the PCA event the weekend
after who said that the course was the most fun he'd ever run at Everett.
WWSCC Events #5 & #6 TS - Understeer/Oversteer: Unofficial discussion
- Kelley (Event CoChair): Two day event, lower than average participation,
but still had a lot of fun. Five runs per entrant, three fun runs available
on Sat, two fun runs on Sun.
WWSCC Event #7 WWSCC - Sports Car Spectacular - Susan: Event Plan presented:
Still need rules stewards: Keith volunteers to RS for the Non-Stock half
of the day. Chris volunteers for the Stock half of the day. Nearest telephone
is Enrique's cell phone.
Registration/Tech: 7:00 to 8:00/8:15, 11:30 to 12:30/12:45 TS will bring
back-up timing equip. Denise will work out the run/work order as Chief of
Workers. Karina will send the R/W history to Denise and also to Karen for
the CofW for Enduro.
Payment: $20/25/30? $20/30. Let people know this helps subsidize Coneheads
in our event plan/info page. $25/$35 was decided. Karen has the course on
her desk. She will scan it to the website and send out a hidden link to
the council list.
NEW Business: WWSCC Event #8 BEAC - Enduro - Karen: This event is not going
to be at Everett, it is scheduled for Oxbow. It has bumps but not as big
as Everett. Couldn't find the address for the building on that site, so she
will try to find something for the WWSCC website for a map. $20 for pre-reg,
$25 for non reg. Entry limit of 160 people. This is maximum intelligent
capacity, not recommended for novices. Stock in PM/Non-Stock in AM AM/PM
only, no three-registration times like last year. Bring a broom....goose
doo.
Fundraiser - Jerry: Jerry brings up a possible fundraiser for an autocross
for Denny LaPlante to help defray the costs of his medical bills from his
accident on Friday. Tentative dates are August 2nd or August 16th. Jerry
will let us all know what he finds out.
UWFSAE Practice - Brian: August 10th. Event plan/course map presented.
Karina suggested they write a short article for the website about UWFSAE
and what they're doing in their club/school stuff.
WWSCC Event #9 ACE - Dogfight: Scheduled for October 5th (UW gave up their
date).
Event Chair Assistance - Karina: Karina suggests that when we see first-time
event chairs, the Council should offer more support to them.
Coneheads Planning - Susan: Per Brian, UW may be able to look into a site
they have access to. Clubs encouraged to query their members to see what
they'd like to see at the banquet ie: more informal or buffet rather than
sit-down; group classes together for trophies, etc.
Announcing About Passengers - Glen: Glen thinks that perhaps we shouldn't
announce that someone needs a passenger, but rather say something to the effect
of a driver needs assistance from someone authorized to ride along.
