WWSCC Meeting Minutes 08/18/2003 Issaquah Rogue Brewery
Call to Order: 7:45
Attendance: Chris NWDE, Glen BEAC, Denise PSMC, Brian UWFSAE, Steve CSCC,
Keith TS, President Susan, Jerry SCCA, Treasurer Karina, Ron ACE. No PTC rep.
Guests: Scott Miller and Dieter Beldi
Minutes: July: Minutes accepted as amended.
Treasurer's Report: Steve suggested changing charitable donation category
in treasurer’s report to reimbursement or some other category since it was
not a real charitable donation. Reviewed budget for remainder of 2003 and
start of 2004, including all projected insurance fees in 2004, to make sure
cash flow would be sufficient and see if there was any extra in case we decided
to subsidize the banquet at a higher amount than in the past. Karina was
reminded to add generator service at an estimated $150 per year, and Honeybucket
expenses to the budget, and the free entries for Jordan C. since he was not
able to use them this year. It was suggested that we also acquire a hand
truck to help move curbs so that we can avoid injuries. Dieter volunteered
to bring his hand truck to the next event to see if a hand truck will work
for that purpose.
OLD Business:
Website Update - Karina: No new progress. Mitch is still working on the
site map.
WWSCC #4 Miatacross Official Discussion & Vote: Jerry said that
there was a lot of discussion about Miatacross at the SCCA meeting, and the
vote was very close. One issue was letting people who had run already go
home without completing a work assignment due to the delay in the event.
This created the assumption that it would not be a championship event. For
similar situations in the future, it was suggested that event chairs need
to explain that the event may still end up being a championship event. Some
in SCCA wanted to propose making the series the best 6 of 9 instead of the
best 7 of 9. Jerry asked if the Council thought there would be any support
for that idea. The answer was no. All clubs approved championship status.
WWSCC #5 and 6 Understeer/Oversteer Official Discussion & Vote:
The person who did not do his work assignment at US/OS showed up at SCS
and was not allowed to run. All clubs approved championship status.
WWSCC #7 Sports Car Spectacular Unofficial Discussion: Denise thinks
that two or three people did not do their work assignments at SCS. She is
checking into it and sending names to Enrique for Enduro. It was suggested
that we add a line to the Event Info that a work assignment and check-in with
worker chief just prior to work assignment are both required. Susan will
send info to Kelley to DSQ the competitors in the event results database,
and it will be up to BEAC whether or not to let those people run.
Other feedback on SCS:
Food Service at Events: Karina researched what it takes to get
a 1-day food permit in Snohomish County and gave the information to the UWFSAE.
Clubs that are interested in selling food need to check with the Snohomish
County Health Dept. to get required permits and understand food handling and
setup requirements. Karina also noted that non-profits typically cannot exceed
$1,000 per year in non-related income (unrelated to core purpose of the
organization) without incurring a tax liability. Probably not something any
of our clubs are in danger of, but something to keep in mind.
Enduro: There will be two registrations and sessions instead of three (like
there were last year). Run groups still need to be posted. Glenn said that
grid would be handled the same way as last year with cars parked by class.
It was suggested that the archive calendar contain links to old event info
pages so that worker chiefs can see previous run groups easily. May also be
useful for other reference.
D-Day Fundraiser: Jerry said that everything went really well. Lots of people. Lots
of runs. Up to 11 runs in the afternoon. Sold a lot of raffle tickets. Estimate
was that about $2200 was raised. Thanks to WW, BEAC, TS, and every group &
person involved so many people who helped. Denny is starting to drive again.
His memory is still coming back. Doctors are encouraged by his progress.
Chief of Grid Checklist - Glenn: Glenn said that BEAC is still planning to
complete a Chief of Grid checklist for the website.
Worker Assignment Spreadsheet: Karina had not taken the time to code in
HTML. It was suggested that she post it in PDF format.
UWFSAE Practice: Went well. A little rain in the AM. Two run groups each
in AM & PM. Five runs per person in AM and eight in PM. Pretty low turnout
– 60 or 70 people. Worth it. Good training for the new UWFSAE members to train
them how to run an event. The October 4 practice will be more casual.
NEW Business:
WWSCC #9 ACE Dogfight - Susan: October 5, with UWFSAE practice the day
before. Event Chair is Brianne Green. Course Designer is Sean Green. Location
is not yet confirmed. It will be Everett or Oxbow, and will be confirmed in
late September. Glen said to post Everett as location for now and to design
the course for Everett. BEAC will make an exception to their rules about reviewing
the course map 1 month in advance if the site location needs to be changed.
Getting (Everett) course approved at the September BEAC meeting is also OK.
UWFSAE October Practice - Brian: UWFSAE will coordinate with Sean to see
if his course can be run backwards for the Saturday practice. ACE will decide
if UWFSAE can piggyback on their insurance (which will probably require naming
ACE as the insured for Saturday’s event, too).
CSCC Update: Mt. Baker recreation is paving their lower White Salmon parking
lot. Steve asked if we might want to run a WW championship event up there
next year. It is about a 2.5-hour drive. Consensus was yes, that would be
a good idea. Steve also noted that CSCC is probably going to run the Blaine
Street Solo every other year rather than every year. They are also having
issue with the fact that the guidelines for street solo speeds are being exceeded
by cars that were not around when the guidelines were written. They want
to figure out a way to slow it down and still have fun.
Next WWSCC Meeting: The September meeting has been changed to Monday, September
22.
